Our client, a retired entrepreneur with a dynamic lifestyle based in Malibu, California, is seeking a tactical and resourceful Personal Assistant/Office Manager to seamlessly manage both personal and business operations. Success in this position hinges on the ability to anticipate needs, read between the lines, and execute with precision-often managing what isn't explicitly said as much as what is. From coordinating complex travel and overseeing multi-property logistics to managing vendor relationships and synchronizing personal and professional calendars, this role demands a detail-oriented, adaptable professional who excels at balancing structure with flexibility.

Day-to-Day as our Personal Assistant/Office Manager
- Assist with calendar planning, scheduling both business meetings and personal events
- Create personalized, day-to-day itineraries as needed
- Coordinate various large-scale events of 20-100 attendees, including managing vendor contracts, event budget and receipt reconciliation, venue selection, directing event team and communication surrounding events
- Plan, execute, and manage personal travel for family and friends, including packing and unpacking of personal items and equipment, and maintaining constant contact and availability as trips are in progress
- Execute all dining and event reservations, car services and rentals
- Travel from office to personal residence no less than once per week, and other properties as needed
- Office management, providing support in all administrative duties - Tesla work vehicle provided!
- Maintenance of extensive wine collection, inventory, and cellar maintenance
- Routinely maintain existing inventory of photography equipment, as well as all personal vehicles
- Miscellaneous additional time-sensitive tasks as needed: personal errands, researching topics of interest
What you Bring as our Personal Assistant/Office Manager
- 3-5 years of experience as a Personal Assistant/Office Mgr. for high-net-worth individuals or celebrities and families
- Excellent professional references from previous or current employers
- Exceptional organizational skills and detail orientation; able to multi-task and follow through on big and small projects
- Ability to transcribe meeting minutes with detail and accuracy
- Property management experience or working with repair/service vendors (preferred)
- Impeccable verbal and written communication skills
- Discerning and proactive problem solver; ability to analyze situations and anticipate needs
- Ability to detect nuance and read between the lines
- Adept in working in ever-changing work environments where the utmost discretion and confidentiality are required
- Tech-savviness with Apple and MAC systems, and advanced knowledge of Microsoft and Google Suite
- Ability to exercise quick and accurate judgment under pressure
- Ability to lift and carry, without assistance, boxes and equipment weighing up to 50 lbs
- Flexibility in scheduling, willingness to work long hours if needed
- Dependable transportation with an excellent driving record

Our client offers a generous base salary of $100K plus end of year bonus $25K (with contingencies), benefits, PTO and 401(k) Tutti Quanti, LLC
