We are seeking an exceptional Executive Assistant to support a dynamic and highly successful high-net-worth (HNW) couple based in Miami, FL. The ideal candidate will be a highly intelligent, detail-oriented, and proactive individual with a corporate background, capable of handling professional obligations with discretion. This individual will excel in a fast-paced environment, demonstrating superior organizational skills, a can-do attitude, and the ability to manage complex tasks and challenges.

As an Executive Assistant, you will play a critical role in ensuring that no task is too big or small. You will be responsible for supporting a variety of personal and professional needs, including managing schedules, coordinating travel, running errands, and ensuring that daily operations are executed with precision and efficiency. While this role is remote, the ideal candidate must be local to Miami and have strong ties to the area and be comfortable handling errands as needed.

Key Responsibilities:

  • Manage and coordinate the couple’s personal and professional calendars, ensuring appointments and meetings are scheduled appropriately, while maintaining flexibility to adjust to last-minute changes.
  • Handle all domestic and international travel arrangements, including flights, accommodations, transportation, and activities. Prepare detailed travel itineraries and ensure all travel documents are in order (e.g., visas, passports).
  • Plan and coordinate events, dinners, and social gatherings. Oversee logistics such as vendors, catering, entertainment, and guest accommodations.
  • Take care of personal errands, including picking up dry cleaning and handling special requests to ensure smooth operations and convenience for the couple.
  • Assist in managing household finances, including tracking expenses, handling bill payments, and maintaining accurate records of transactions.
  • Manage relationships with household vendors, contractors, and service providers to ensure timely and high-quality services.
  • Assist with correspondence, manage email communications, and handle various administrative tasks as required. Ensure professionalism and confidentiality in all dealings.

Requirements:

  • Minimum 5+ years of executive assistant experience in a corporate setting.
  • Highly organized with the ability to juggle multiple tasks and prioritize effectively in a fast-paced environment. Detail-oriented and able to anticipate needs before they arise.
  • Must be based in Miami and have established connections in the area.
  • Must be proactive, resourceful, and capable of taking initiative. Ability to manage competing priorities with a sense of urgency and a problem-solving mindset.
  • Exceptional verbal and written communication skills. Must be able to interact with clients, vendors, and staff in a professional manner.
  • Proficiency in Microsoft Office Suite and various scheduling and communication tools.
  • A valid driver’s license and access to reliable transportation for errands and other tasks.

Location: Miami, FL.

Schedule: While this role is remote , this candidate must be local to Miami to run errands as needed. This is not a 9am-5pm role and does require flexibility to work outside of typical business hours. Some weekends and holidays may be required.

Compensation: $130-180k DOE, discretionary bonus, benefits, PTO.
