Key Responsibilities:

Workshop & Appointment Coordination

  • Confirm and manage workshop registrations through calls and emails.
  • Follow up with registrants to ensure attendance and schedule post-event appointments.
  • Track attendance, prepare materials, and handle workshop logistics.
  • Make warm calls to leads, engage prospects, and secure advisor appointments.

Front Desk & Client Experience

  • Answer phones, greet clients, and manage appointment scheduling.
  • Prepare meeting packets and set up conference rooms.
  • Ensure a welcoming and professional office environment.

Administrative & Operational Support

  • Handle mail, office supplies, and document filing.
  • Assist financial advisors and team members with administrative tasks.
  • Support workshop and client events as needed

Skills & Attributes:

  • Outstanding verbal and written communication skills.
  • Detail-oriented, with strong time management abilities.
  • Proactive and client-service driven, creating a positive client experience.
  • Comfortable making warm calls to secure appointments.

Qualifications:

  • Associate’s degree OR 2+ years in customer service or administrative roles.
  • Experience with appointment setting, scheduling, or front desk operations.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and familiarity with CRM systems.

Preferred:

  • Experience in financial services, insurance, or professional office environments.
  • Event coordination and CRM database management experience.

Compensation & Benefits:

  • $17+ per hour (based on experience).
  • Full-time benefits package: 401(k) matching, dental, vision, PTO.
  • 36-hour work week: Monday-Thursday (9 AM - 5 PM), Friday (9 AM - 1 PM).
